Scheduling

Support, Questions and Suggestions for the FM7 Version of CC Calendar.

Hi,

We are exploring the possibility of using CC Scheduling in our company. Like to clarify a few questions:-

1) Our resources are lecture rooms and instructors. When we schedule a lecture, the program needs to check for conflict not just for room but for the instructor as well. Can this be done?

2) After each lecture, we want to update the status of that event like "Done" or "Cancel" plus many other information. Reason for doing this to enable to report how many of the classes are canceled. At the sametime, is it possible to 'duplicate' this schedule or re-schedule this in the event of cancellation?

Thank you

Sure. Conflicts work a little differently on the Daily View and on the Scheduling view, so...

Daily View. We use a separate relationship to display conflicts here and you can easily edit that to use just the criteria you're interested in. I imagine you'll want to remove "resource" from the criteria so that appointments are considered conflicting when the instructor (the "user" in our calendar) is supposed to be in another room (another "resource") at the same time. No problem.

Scheduling View. Here you might not need to make any changes. If you enter your data so that resources are your instructors, then any conflicts will be obvious: if the instructor is doing two things at once those appointment will bump into / overlap each other. If your resources are rooms, you'll be able to see the conflicting appointments beside each other (providing you don't have too many rooms).

Have Your Cake and... I was thinking about your post last night and came up with a neat solution. By making a simple modification to the Scheduling Edition, you can use BOTH instructors and rooms as resources. Here is what to do....

a) In the CCCalAppts table, change the definition of ApptKeyResourceCalc to be ApptResource & "¶" & "-" & "¶" & ApptType

b) The create two "types" of resources. One type would be "Instructors" where you'd enter the same instructor names you use in your User List. The second type, "Rooms" would be a more traditional list of rooms.

With this setup you can use the calendar's Resource Type filter to view the same schedule with Rooms across the top of the scheduling screen, or with Instructors at the top, simply by toggling the filter.

This is one of the best things about FM7, in my opinion. It is so easy to make individual elements of a multi-criteria relationship themselves multi-valued.

By the way, you can learn more about how conflicts are displayed in the Scheduling Edition FAQ online.

2) After each lecture, we want to update the status of that event like "Done" or "Cancel" plus many other information. Reason for doing this to enable to report how many of the classes are canceled.

Sounds good. The calendar doesn't have the Sum() fields you'll need to count appointments by status, but you can easily add that.

At the sametime, is it possible to 'duplicate' this schedule or re-schedule this in the event of cancellation?

Absolutely. You can easily dupe an appointment and then change the dates of the newly duped item. You can also create repeating appointments and then individually adjust the dates, times, instructors, etc. of individual repetitions.

Hope that helps (and thanks for your questions!)
